Executive Assistant – Public Relations Firm

Position Summary:

The Executive Assistant will provide high-level administrative and operational support to the firm’s executives. This role requires exceptional organizational skills, attention to detail, and the ability to anticipate needs in a fast-moving environment. The right candidate is resourceful, proactive, and able to handle sensitive information with discretion while helping the team deliver excellent results for clients press and partnerships. 

Key Responsibilities:

  • Manage complex calendars, schedule meetings, and coordinate internal and client-facing appointments.

  • Arrange domestic and international travel, including itineraries, accommodations, and logistics.

  • Handle email management, draft correspondence, and maintain clear communication on behalf of executives.

  • Support preparation for client meetings by assembling agendas, briefing materials, and follow-ups.

  • Track deadlines, deliverables, and action items to keep executives and teams on schedule.

  • Assist with coordination of press events, media engagements, and client launches.

  • Maintain accurate filing systems, databases, and contact lists (including media and client records).

  • Handle expense reports, invoicing support, and other administrative tasks as needed.

  • Serve as the first point of contact for executives, demonstrating professionalism with clients, media, and partners.

  • Provide monthly support to initiate brand partnerships for Jasmines personal brand driving a minimum of one to two brand partnership per month 

Qualifications:

  • 3–5 years of experience as an Executive Assistant, preferably in PR, communications, marketing, or a related industry.

  • Strong proficiency in Microsoft Office Suite and Google Workspace; familiarity with project management tools (Asana, Trello, Monday.com) is a plus.

  • Excellent written and verbal communication skills.

  • Highly organized with the ability to manage multiple priorities under tight deadlines.

  • Discretion and professionalism in handling confidential information.

  • Strong problem-solving skills, adaptability, and a proactive mindset.

  • Bachelor’s degree preferred, but relevant experience will be considered.
